Google Workspace with Gemini and Microsoft 365 Copilot both integrate generative AI into productivity apps, but they serve different needs. Google's approach is cloud-first, bundling Gemini features into Workspace plans. This offers deep assistance across Gmail, Docs, Sheets, Slides, Drive, Meet, and the Gemini app. Microsoft's system is more layered, combining Office applications, Microsoft Graph, and Teams through separate Copilot licensing. For example, Google Workspace Standard in India costs ₹864 per user per month with an annual commitment, offering 2TB pooled storage and Gemini across various apps. In contrast, Microsoft 365 Business Standard with Copilot is listed at ₹1,955 per user per month, paid yearly, plus GST, and includes 1TB OneDrive storage. Google states that Workspace customer content is not used for model training outside the organization without permission. Microsoft also says prompts, responses, and Graph data are not used to train foundation LLMs. The bottom line is that choosing between them depends on your existing ecosystem and specific business needs.
